About the Academy:Â
The Mindset Academy has been designed for rugby players aged 12-18 years old. The Academy includes access to online video training modules, live GoogleMeet group coaching and mentoring sessions, an online community, worksheets for you to download, plus competitions and giveaways. By subscribing to the Academy as a parent or guardian of a child under the age of 16, you agree to the following:
- You will ensure that you and your child will comply with these terms.
- You will always be present with your child during the live Zoom skills sessions.
- You will always be present when your child is communicating within community, and monitor all communications sent and received. If you become aware of any inappropriate communications that breach our community guidelines, you will notify us immediately.
Term of the Academy:Â
You can subscribe to the Academy on an annual or monthly basis (each, a “subscription”), however you must be at least 18 years to create a subscription and have legal capacity to enter into a contract with us.
If you choose the annual subscription, your access to the Academy will start when you pay the Academy Fee. Your annual subscription will automatically renew at the end of the 12 months for a further 12 months. However, if you would like to cancel your annual subscription, or you would like to prevent automatic renewal, we must have at least 30 days’ notice. You can cancel via the account settings, or you can email us with your notice to cancel at [email protected].  As you’ll receive a discount on the Academy Fees by having an annual subscription, you can’t cancel part way through and request a refund. Your access to the Academy will end at the end of the 12 month subscription and provided proper notice is served, your annual subscription will not renew.
If you choose the monthly subscription, your access to the Academy will continue on a monthly basis. However, if you would like to cancel your subscription, we must have at least 30 days’ notice. You can cancel via the account settings, or you can email us with your notice to cancel at [email protected]. Your access to the Academy will end at the end of the next month.

Academy Fees: The Academy Fees are as confirmed on our website and is collected by Kajabi Payments, Apple or Google pay. You should read Kajabi's payments overview as these will apply to the Academy. Where you subscribe monthly, Kajabi Payments will continue to take payments from your chosen payment method until you cancel your subscription.
It is your responsibility to ensure that your payment method is kept up to date and that the monthly Academy Fees can be taken on the due date. If any payments can’t be taken, we will suspend your access to the Academy without liability to you.
Where any sums due to us are overdue for more than 30 days, we reserve the withdraw your access to the Academy with immediate effect on serving immediate written notice on you.
You are required to provide valid card payment details at the time of registration. These details will be securely stored and used to collect payment for subsequent monthly subscription fees.
Consumer rights: You’ll have access to the Academy immediately. This is known as digital products under consumer legislation, and by signing up to and paying for the Academy (whether under an annual or monthly subscription), you are expressly waiving your right to the 14-day cooling off period you would usually be entitled to under consumer legislation. This means that you won’t be able to change your mind and request a refund once the Academy starts (although you can cancel a monthly subscription as explained above).
Privacy of your account:Â
You must keep all security information confidential. We have the right to disable your security information if we believe you have failed to maintain confidentiality.
You are not permitted to share access to your account and the Academy with any other person. The Academy is licensed only to you, and you cannot sell or transfer it. You must comply with the law and these terms when using the Academy . Failure to do so may result in suspension or termination of the Academy without liability to you.
Intellectual property:Â
As part of the Academy, you’ll have access to a variety of resources, including (without limitation) recordings of the live 'Meet' coaching and mentoring sessions. Anything we have created that we share with you is our intellectual property. You’re not permitted to copy, sell, transfer, assign, exploit, share, distribute, create derivative works of, sub-license or otherwise make our intellectual property rights available to any third party, whether for commercial or personal purposes.
Accessing and benefitting from the Academy:Â
For you to be able to access and gain full benefit from the Academy, such as attending the live 'Meet' sessions, you must ensure that you have the equipment needed to attend, such as a laptop or computer with a camera, a microphone and (most importantly) a strong internet connection.
We’re not responsible if you’re not able to attend any part of the Academy because of issues with your equipment or internet connection, or if there are issues with the software we use to deliver the Academy, as these are completely outside our control.
The Community:
You will be given access to the community group exclusively for Academy members. It is important that the community is a place where members feel supported, encouraged and treated kindly. As such, by subscribing to the membership, you agree that you and your child will comply with our community guidelines available within the community. We are not responsible for the behaviour, actions, or views of other members, and can only ask that everyone respects the privacy and confidentiality of others. We reserve the right to remove you from the community if you breach the community guidelines.

Rugby Buddy provides mindset coaching, giving guidance, and support to enable you to improve your rugby game. We make no guarantees or claims as to the success of any Academy member. Each individual is unique, as is the commitment they make to themselves to apply the lessons into their rugby game. The aim is that by attending the live 'Meet' coaching and mentoring sessions, you’ll get the most out of the Academy. Rugby Buddy is not responsible for any outcomes you do or don’t achieve through your participation in the Academy, or any action or inaction which you take as a result of the information provided during the Academy.
Confidentiality:Â
During the Academy, you may have access to our confidential information, in particular relating to our business or any other Academy member. You may also share with us confidential information about your home, school or working life (as applicable). By accepting these terms, you agree that you won’t use or disclose to any third party any confidential information you receive, and you will use your best endeavours to prevent the publication of any confidential information relating to us or any other Academy member. We are also bound by confidentiality obligations and will not share your confidential information outside of our company.
You accept that any unauthorised disclosure of confidential information belonging to us or Academy members may amount to immediate dismissal from the Academy, without refund or liability. You remain bound by the confidentiality obligations stated in these terms after the Academy ends.
Data Protection:Â We comply with applicable data protection legislation, including the retained EU law version of the General Data Protection Regulations ((EU) (2016/679) and the Data Protection Act 2018. We will only use your personal information as set out in our privacy and cookie policy,
Cancellation by us:Â
Without affecting any other right or remedy available to us, we are permitted to terminate the Academy immediately by giving you written notice if you (or your child) materially breach these terms. We may also withdraw the Academy at any time, in which case you will be entitled to a refund of a proportion of the Academy Fees for services not yet delivered.Â
Third party rights. Unless it expressly states otherwise, these terms do not give rise to any rights under the Contract (Rights of Third Parties) Act 1999 to enforce any term of these terms.
Applicable law. These terms and any non-contractual obligations arising hereunder, shall be governed by, and interpreted according to English law and all disputes arising under these terms (including non-contractual disputes or claims) shall be subject to the exclusive jurisdiction of the English courts.

Rugby Buddy Skill Academy
The Skill Academy has been designed for rugby players aged 11-14 years old. The Academy includes access to small group skills coaching. One hour per week through term time only, indoors, and limited to 14 players per group to maximise everyone's potential. Full details about what the Academy includes are detailed on the website at
By subscribing to the Academy as a parent or guardian of a child under the age of 16, you agree to the following:
- You will ensure that you and your child will comply with these terms.
- You will always be available to be contacted during a session in case of injury or anything else.

COACHING SESSIONS
You confirm that your child is physically able to participate in rugby activities. Any existing medical conditions, allergies or injuries must be disclosed on registration.
Appropriate clothing and footwear must be worn.Â
Suitable gym wear for indoor use.
Protective equipment (gumshields, headgear etc.) is recommended where relevant.
Each Centre operates under UK health and safety law; emergency exits are signposted.
Coaching sessions are delivered by qualified, insured coaches. We follow RFU safeguarding guidelines and best practice. We reserve the right to remove any participant who behaves in a dangerous or disruptive manner. Contact levels are age-appropriate and in line with RFU regulations.
Parents/guardians may watch sessions from designated viewing areas but may not interfere with coaching.

PAYMENTS AND CANCELLATIONS
Payments are made online and are due on the same date each month for a total of 12 months. Places are not guaranteed until your first payment is received. All membership fees are non-refundable, and the monthly payment is charged regardless of how many sessions you attend.Â
Given the academy only runs through term time, payment for the 38 weeks be split over 12 monthly payments.Â
To cancel your membership for the upcoming term, you need to provide notice at least 30 days before the start of that new term. For instance, to end your membership before the Spring term payments begin on 1st January, you would have to notify the academy by 1st December, which is at least 30 days before the end of the Winter term. You can email us with your notice to cancel at [email protected].Â
Your monthly membership payment will be the same regardless of the time of year that you join and will end, as standard, on the 31st August.
The Academy's year is divided into three terms to coincide with school terms.

The annual membership price is subject to a yearly review.
MISSED OR CANCELLED LESSONS
Sessions missed due to the individual can not be made up as part of their membership fee.Â
Sessions cancelled by the Academy, for any reason, can be made up at other sessions listed by the Academy.
LESSON TIMESÂ
Parents and guardians are responsible for their children until the official start time of their rugby sessions.Â
Players are to be registered on attendance and collected by a responsible adult at the end of the session. If the player can walk home/get a taxi by themselves/lift with another adult the parent/guardian must put in writing via an email prior to the occasion that they allow this to happen.
It is your responsibility to ensure that your payment method is kept up to date and that the monthly Academy Fees can be taken on the due date. If any payments can’t be taken, we will suspend your access to the Academy without liability to you.
Where any sums due to us are overdue for more than 30 days, we reserve the withdraw your access to the Academy with immediate effect on serving immediate written notice on you.
USE OF MOBILE PHONES AND CAMERAS
TAKING AND USING PHOTOS
Rugby Buddy understands the importance of visual content for promoting the sport and celebrating players actions. To ensure this is done safely, we have a clear policy on the use of photography and video.

All members, parents/guardians are required to provide consent for the use of photos and videos for publicity, promotion, or record keeping. This will be managed through an explicit opt-in/opt-out process on the Academy sign-up form.

Consent will be requested once per member, and the parent or guardian should email [email protected]Â if they wish to change their consent status at any time

Permission Denied - if permission is denied, the player will not be included in any photos or videos taken for promotional purposes. All Academy staff will be notified of this and will take reasonable steps to ensure the player is not photographed.

Purpose of Use - images and videos will only be used for official Academy marketing channels, including social media, the website, and promotional materials

CAMERA USE

The use of video analysis in rugby is a valuable coaching tool. Coaches are permitted to use cameras or mobile phones for this purpose, but all video analysis must be done in an appropriate and transparent manner

The Academy may hire professional photographers or use club- owned cameras at events

Photography at Academy organised events: While we do not wish to discourage filing or photography, we understand it must be used appropriately. The Academy reserves the right to ask any individual to stop filming or taking photos and to leave the premises if their conduct is deemed inappropriate

MOBILE PHONES

Mobile phones are permitted for coaches, pupils and parents/guardians during sessions, but must only be used at appropriate times and not to be used in changing rooms.Â

All attendees, including parents/guardians and spectators, are prohibited from taking photos or videos of other players without their explicit consent or the consent of their parent/guardian. Images should not be shared on social media.

Any concerns about the misuse of mobile phones or cameras should be reported to Charlie Hodgson immediately.

PHYSICAL CONTACT
Due to the nature of the sport, coaches may need to have physical contact with the individual (technique guidance, congratulations/consoling and first aid). If in the event of an injury, any contact with the young person will be explained as to what is happening and why. The staff member will inform the parent/carer upon arrival to make them aware of the situation.Â
Best practice is extensively promoted, and coaches, officials, clubs and affiliated organisations are required to adhere to the RFU safeguarding guidelines.
The RFU is a Registered Body with the Disclosure Barring service (DBS) and facilitates a disclosure service on behalf of clubs and employers to prevent unsuitable people from working within the sport.Â
All staff are DBS advanced checked.
